QuickBooks Online Import — Frequently Asked Questions
The 3-column format has Date, Description, and Amount — where negative values are debits and positive values are credits. The 4-column format has Date, Description, Credit, and Debit as separate columns, which some users find easier to read and verify. Both formats are accepted by QuickBooks Online's bank transaction import. Choose whichever matches your workflow.
In QuickBooks Online, go to Banking (or Transactions > Bank transactions). Click the dropdown arrow next to 'Link account' and select 'Upload from file'. Choose the CSV file exported from Exact Statement, select the bank account to import into, map the columns if prompted (Date, Description, Amount or Credit/Debit), and click 'Import'. QBO will show a preview — review the transactions, then confirm the import.
Common reasons QBO rejects a CSV import: (1) A date format your QuickBooks import flow does not expect — most QBO imports use MM/DD/YYYY, and our converter defaults to that format. (2) Extra header rows or blank rows — our CSV output is clean with a single header row and no blank lines. (3) Wrong number of columns — make sure you selected the correct QBO format (3-column or 4-column) before downloading. (4) Special characters in descriptions — our converter sanitizes text fields to avoid encoding issues.
