American Express Statement to CSV/Excel — QuickBooks & Xero Import

American Express gives you billing statements, recent activity exports, and software downloads, but those files do different jobs. Exact Statement is most useful when you need billing-statement rows cleaned into QBO, Xero, or review-friendly CSV/Excel output.

Where To Pull American Express Statements

American Express is card-first, so the right source depends on whether you need statement PDFs, transaction history, or a software export for a recent window.

1

Use Statements & Activity

Log in to your online account and open Statements & Activity to reach billing statements and recent transaction history.

2

Recent history is exportable

Amex says the previous two years of transactions can be viewed electronically and downloaded as PDF, Excel, or CSV.

3

Archived PDFs may not be instant

If the statement has been archived, Amex says the PDF will be available online within 24 hours after you request it.

4

QuickBooks export still needs checking

Amex also offers downloads to Quicken, QuickBooks, or CSV for recent activity and past six billing statements, but those still need to match the target accounting import shape.

What Makes American Express Different

American Express is a card-account workflow. The main cleanup issues are billing-cycle cutoffs, statement credits, fees, and payment rows.

This is primarily a card statement workflow

The core download and review path runs through Statements & Activity, not through a branch-style checking workflow.

Transaction history and billing statements are separate views

Recent activity exports can be useful, but month-end reconciliation still often depends on the billing statement PDF and its cut-off window.

Merchant text is noisy

Card merchant descriptors, statement credits, fees, and refunds are easy to misread when you copy raw rows into a spreadsheet.

Positive and negative sign logic matters

Charges, refunds, credits, and payments need to become consistent signed amounts before they are safe for import.

Amex exports are not bank-feed templates

Even when Amex gives you an export, the final file still has to match the exact column rules used by QuickBooks Online or Xero.

Locked files still need manual unlock

If a statement or email attachment is password-protected, unlock it first before upload. Exact Statement does not remove Amex passwords for you.

Common American Express Import Pitfalls

The error pattern here is different from checking-account pages. Most issues come from card-specific semantics.

Statement credits flip the sign unexpectedly

Refunds and credits can look like ordinary spend rows if the sign is not normalized before export.

Recent-activity export and billing statement are not interchangeable

One is useful for short windows; the other defines the official statement period. Mixing them creates reconciliation drift.

Card descriptors are too verbose for import

Merchant descriptors often need payee cleanup before they become clean accounting rows.

QBO and Xero require different final columns

Amex-native exports still need to be reshaped into the exact import format of the destination software.

How American Express Fields Map Into QBO And Xero

American Express gives you access to exports, but the cleanup still happens at the field-mapping stage.
